Head of Finance

Circle is building the modern community platform for every creator and brand in the world: think "Shopify for creator/brand-led communities". We make it really easy for creators and brands to bring their discussions, members, and content all into one place.

We’re looking for a Head of Finance to lead the Finance function at Circle through an exciting phase of growth and expansion.

Reporting to Circle’s CEO, you will be responsible for building and maintaining the company’s budgeting and operating model, accounting practices, reporting and controls, financial data and analytics, and compliance / tax processes.


This is a 100% remote role. We're now a fully remote team of 65 (and growing!) based in the U.S., Colombia, Portugal, India, Argentina, Slovenia, and other countries. We have a preference for candidates in U.S. and European time zones.

Responsibilities
  • Create, implement, and maintain a disciplined annual planning and budgeting process with other department heads, including monthly closes and financial reporting packages
  • Partner with Circle’s co-founders and sales/marketing leads to determine, establish, and track revenue KPIs with a robust and accurate operating model
  • Perform month-end and initiative-level variance analyses to guide Circle’s capital expenditure
  • Provide FP&A support and scenario planning as departments evaluate new initiatives and projects
  • Identify and execute opportunities to improve financial controls, processes, and information systems
  • Partner with Circle’s CEO on investor communication, fundraising, employee policies, and company strategy
  • Partner with Circle’s department leads to review and establish employee compensation bands and hiring plans
  • Initiate cost containment strategies including cost-savings initiatives, spending controls and expense approvals, vendor negotiations, and contract renewals
  • Oversee the company's accounting function, including deep understanding of revenue cycle management, collections management, GAAP principles, and taxes
  • Develop and implement a strategy for bringing specific Finance functions in-house and constructing a lean, internal finance staff (i.e., accountant, bookkeeper, financial controller)
  • Ensure Circle’s financial compliance with relevant laws and regulations

Who we're looking for
  • 8+ years of relevant experience in finance roles, with 4+ years as an operator and experience leading, developing, and growing a small team; growth-stage SaaS, background in FP&A, and venture-backed startup experience is strongly preferred
  • Deep understanding of subscription-based metric calculations and concepts; experience with GMV / Stripe Connect is a plus
  • Extensive experience in developing operating budgets and tracking to actual in high growth businesses at all corporate levels (project-based, departmental, and company-level)
  • Ability to work with significant autonomy; define and execute a plan to achieve overall strategic goals and metrics
  • Highly analytical and quantitative skill set with world-class attention to detail
  • Excellent verbal and written communication skills

Executive Assistant to Chief Financial Officer

We have big growth plans for 2022 and our Chief Financial Officer, Shawna Fisher, is looking for an Executive Assistant to support her as we scale. If you’re fluent in finance and passionate about using data to drive business change, we might be looking for you!  


About the Role
  • Leader support: You’ll be our CFO’s righthand person, assisting her with everything from calendar to project management. For example, assisting with OKR planning across the CFO Group. You’ll also act as proxy for communications, answering general questions and referring routine matters to appropriate parties and then following up to ensure proper disposition.
  • Team support:You’ll make sure the Finance team stays on top of departmental daily activities as well as annual audits. You’ll support financial processes, expense reporting, and vendor relations.
  • Time and calendar management:You’ll be the primary contact for scheduling, actively managing calendars in such a manner that the CFO can complete her obligations in an organized and efficient way.
  • Project coordination: You’ll be involved in end-to-end project management for org-wide projects and initiatives, including inception, planning, documentation, tracking and communication
  • Cross-functional collaboration: You’ll collaborate with other Executive Assistants and teams to expand organizational communication and efficiently plan and execute milestones and events across teams.

  • You have multiple years of experience supporting C-Suite executives in finance and legal. You’re comfortable working with everyone from the highest level stakeholders to individual contributors.    
  • You are financially fluent. You understand what our CFO, Controller, and Accountants do and are responsible for. You appreciate the importance and value of data and numbers in running a business. 
  • You are an excellent written and verbal communicator. You can translate technical financial concepts into language that’s easily understood by all. 
  • You treat privileged information with care. You can be trusted with sensitive finance and compensation data, and use that trust to build relationships with the CFO and other key stakeholders. 
  • You are a creative problem-solver. When something goes off the rails, you jump in with ideas and a strong will to make things happen.

Greenback Expat Tax Services is seeking a highly-motivated business service professional who loves serving others, has an eye for detail, and great communication skills, and wants to work with a team making a difference. This role would be approximately 70% dedicated to helping the CEO with business priorities and 30% personal support. Everything from calendaring and travel scheduling, to assistance with marketing or PR related activities will cross your path.

Every day will be different, so this role is best for someone who is naturally nimble, resourceful and comfortable operating without a script/routine. We are open to part-time 30 hours/week or full-time.

Sampling of What You’ll Do:

Project Administration:

  • Conduct outreach and coordinate podcast appearances
  • Set up project plans for surveys we do for our business
  • Set up webinar(s) for a partner site
  • Organize shipments from the US to Costa Rica and deal with all of the logistics
  • We are early adopters of all things technology, so a passion for innovation and strong tech-savvy skills are a must!
Research & Organization:

  • Research the cause of discrepancies in our financial reports and help match up the transactions – data enthusiasts will love this!
  • Map out workflows we have set up in our marketing CRM to create clarity on the process
  • Assist with finding a graphic designer to help organize a last minute ad with a partner
  • Basically, you’ll be a part of this great team and pick up workload from any part of the business where your skills can move the needle forward!
Right hand to the CEO:

  • Manage a sometimes complex and always changing calendar of personal arrangements and business commitments
  • Handle basic bookkeeping and reporting on a rental property
  • Book and arrange travel and hotel accommodations for a family vacation
  • Type correspondence, track expenses and do personal shopping when requested
  • Conduct research for home repairs and manage appointment setting
  • Keep the CEO abreast of upcoming meetings or events both at work and at home
What You’ll Bring:

  • Naturally curious disposition
  • Highly detail-oriented skillset able to juggle many concurrently running projects with accuracy
  • Strong finisher – gets joy from seeing a project or assignment through to the end and likes to document processes along the way
  • Very strong tech skills in Excel, Word and other core systems.
  • Likes to figure out how to do things (Webinars, Podcasts) on your own if given a task to do
 

Because we’re a marketing led organization and the CEO retains marketing related responsibilities, lots of the role would include diving into marketing systems and processes and organizing those elements.

Certified Public Accountant - Taxation Specialist

About The Role:

As a Taxation Specialist (CPA) you will be the subject matter expert on tax advice planning for Facet’s clients. You will not only be responsible for coordinating Facet’s tax preparation program, but you will also be a part of our frontline team that keeps our company on the cutting edge of the financial services industry by presenting & educating the internal team on tax planning opportunities and tax code changes.

Your Day-To-Day Responsibilities:
  • Process 10 tax advice case briefs per week
  • Research tax issues to develop effective tax planning solutions
  • Coordinate learning center to broaden team’s tax advice skillset as a whole
  • Coordinate with the Head of Planning on all aspects of tax advice as it relates to the Facet Way of financial planning
  • Assist in building and managing internal teams to scale preparation of tax returns for the client base
  • Preparation of individual, partnership, corporate & trust returns
  • Preparation of federal & state quarterly estimated payments
  • Support requests and questions from teammates and clients
Job Specific Requirements:
  • 7+ years experience leading a scaled tax prep solution
  • 7+ years experience in personal tax preparation and advice
  • CPA Designation
  • Advanced knowledge of different employee stock option plans (RSUs, ISOs, NSOs, etc)
  • Advanced knowledge of tax law and regulations, specifically how it impacts individuals

Global Payroll Manager

As our first Global Payroll Manager, you will own the blueprinting, strategy, and buildout of our payroll function. You will own multi-country payrolls and write the playbook, enabling us to swiftly hire and compensate new joiners as we enter new locations.

You will be a key player in our global expansion, building a team to support you as the company grows and using your payroll expertise to design and implement an exceptional global payroll function that integrates seamlessly into our operational systems.

Your Impact
  • Review our global payroll setup and processes, and suggest best-in-class changes to align, integrate, and harmonize our existing infrastructure and vendors.
  • Own day-to-day global payroll operations, coordinating with vendors and the internal team to deliver pay accurately, in a timely manner, effectively, and within all regulatory, labor, and tax guidelines to employees and contractors throughout the US. and internationally
  • Build a world class Global Payroll team of A-Players to support you in hyperscaling your payroll operations.
  • Implement, maintain, and review high quality payroll processing systems that provide world class data integrity to the business.
  • Partner with various groups within the business (e.g. People, IT and Accounting) to provide strategic direction on business needs and issues related to payroll.
  • Work cross-functionally to ensure payroll is tightly integrated into business systems, suggesting appropriate systems upgrades as we scale.
  • Create a playbook for entry into new countries to enable us to add new countries frequently at scale  - including vendor selection, PEO/branch usage, payroll delivery, and benefits brokers.
  • Develop cutting edge methodologies for handling crypto payroll reporting.

Requirements
  • Experience building a global payroll function in a high growth (preferably startup) environment
  • Natural curiosity - we’re working at the cutting edge of tech, branching into many new locations, and leading the wave in decentralized finance. You won’t know it all already, but a passion for learning quickly is key.
  • Passionate, self-starter with a can-do attitude. You're eager to jump in and get things done, and will stay calm and collected in a fast-paced and fast changing environment
  • Exposure to US labor law, tax, and compliance at the federal and state levels
  • The US is our biggest location so it’s critical that you’re comfortable in that geography. If you’re newer to global payroll geographies outside the US and are open to learning fast to get up to speed, that can work too.
  • Detail oriented, deadline driven and work well under pressure with a high degree of accuracy
  • A leader who can flex from tactical to strategic as needed to get the job done.

The Opportunity

The mission of the Talent Relations Associate is to support our Talent Relation clients by securing them guest appearances on podcasts while also providing world-class service and ensuring our goals for them are not only met but all of their expectations are exceeded. 

Essentially, you’ll act as their Podcast PR rep and it’s your job to help them, and their companies, shine. 

This Role in Action

  • Pitching - Crafting personal and compelling email, video, and social media pitches to podcast hosts in order to obtain guest appearances for our clients on their show.

  • Prospecting - Conducting show research to find the perfect podcasts for each client's expertise and goals.

  • Client reports - Creating custom client reports that recap the work we’ve done together.

  • Onboarding material & guidance - Creating custom onboarding material for new clients and guiding them through the onboarding journey. 

  • Strategy & growth - You’ll monitor results for every client you run point on and ensure their experience with us is ever-evolving to ensure success. 

  • Collaboration - Working together to refine, define, and implement new ideas via weekly team meetings, Slack and some async jam sessions in GDocs.
